How to set up an iCalendar widget for your calendar application?

You need to be familiar with your default calendar application. This document provides instructions for adding an iCalendar subscription to:
  • Apple Agenda
  • Google Calendar (Google.com)
  • Microsoft Outlook.com (Hotmail/Live)

Disclaimer: Be aware that these calendar applications and others, non-listed calendar applications, are responsible for synchronizing events. Artwin Live is NOT responsible for incorrect or incomplete synchronizations resulting in missing bookings. Please read the documentation of the calendar application you use or contact their technical support division.

 

Time zone settings

For the use of the iCalendar widget, you are required to set your Calendar time zone. By default, this is set to "Europe/Amsterdam". If you need to change this time zone, go to your Account settings in the Account menu*. In General Settings, pick your time zone and save the changes. 

* You can find a shortcut to the account settings page in the iCalendar widget settings.
 

Create a new iCalendar widget

  • Login to your Artwinlive.com account and click on "My Widgets" in the account menu at top of the page. Click on "Create new" cell.
  • Enter a description of your new iCalendar and select "iCalendar" from the "Export Type" drop-down box. Select all schedules or individual schedules to show only the gigs listed in those schedules.
  • You can limit the visible gigs by a number of months. Enter a "0" to show all future events.
  • Caution: If you should select the "Show all gigs" option to show non-confirmed and more information about gigs. If you're going to publish the iCalendar link, then you should not check this option.
  • Press the "Add" button to save your new iCalendar widget. You will see the iCalendar URL of your new widget. Please read the next section of this document to choose what format fits your needs.
 

Calendar subscriptions


Please refer to the manual of your calendar application. In this section, we provide basic instructions for the most commonly used calendar applications.
 
Apple Agenda
Start your Apple Agenda application on your Mac. Select "New Calendar Subscription..." from the "File" menu. If you're using an iOS device (iPhone or iPad) the iCalender will automatically be added if you have an iCloud account. Select iCloud as Location.
 
Please note that you can define the update interval in Apple Agenda. By default, this is set to "One week". Feel free to change this setting to a more frequent interval.
 
New data will not be fetched automatically. You will need to enable this in your Settings, Calendars, Accounts, Fetch new data. Tab the calendar and set it to Fetch. Go back and scroll down. Set the refresh interval to 1 hour.
 
 

Google Calendar

Open Google Calendar in your browser. Click on the drop-down icon on the left side of the page next to "Other Calendars" en select "Add by URL".
 
If you're using an Android device (Samsung, HTC, ...) the iCalendar will automatically be added. You cannot add an iCalendar subscription on the device using the default Android Calendar application. 
 
Warning! You cannot control the synchronization process. Google states that they refresh iCalendar feeds every few hours, but they do not explicitly provide an exact refresh interval. Consider an update interval between 1 and 24 hours.
 
 
 

Microsoft Outlook.com (Hotmail/Live)

Login to Outlook.com on your browser and navigate to the Calendar via the menu. Click the Import button in the menu and on the next page press Subscribe on the left side of the page.
 
Please be aware that you cannot set the synchronization interval. Outlook.com normally refreshes within a half hour.
 
 

Advanced features

View modes

By default, all gigs will appear in your calendar application at the exact time of a gig. If a gig is on Saturday night at 2:00 AM, this will be presented on Sunday at 2:00 AM. This might be inconvenient for some artists or applications. In this case, you may change the view mode to a different setting.
 

All day event mode

In this mode events at Sunday 2:00 AM are showed on Saturday as an all-day event. In the event title, the actual time will still be visible to provide you with the right information.

Time offset mode

The time offset option can be added to show the event 6 hours earlier than the actual time of the gig. This way a gig at Sunday 2:00 AM will appear as Saturday 8:00 PM. In the event title, the actual time will still be visible to provide you with the right information.

If you use custom time zone support the option syntax is: option=with-timeoffset&tz=[timezone] 

Custom time zone option
You can override the user time zone setting by adding the time zone option to the iCalendar URL.
 
Syntax: https://artwinlive.com/widgets/[code]?tz=[timezone]
 
Enter your default time zone for [timezone] of your calendar application or device. A list of time zone name can be found here: http://en.wikipedia.org/wiki/List_of_tz_database_time_zones
 
Example: America/New_York, Asia/Tokyo or Europe/Amsterdam. It's advised to set the time zone of your calendar application (or mobile device) to a fixed time zone and not let the device automatically set it based on your physical location.
